Terms of Service

Terms for CrystalSlate accounts and subscriptions.

Effective July 26, 2026 · Last updated July 30, 2026 · Version 1.2.0

1. Agreement and service

These Terms govern access to CrystalSlate, including its website, account system, workflow workspace, documentation, trials, subscriptions, and support. By creating an account or using CrystalSlate, you agree to these Terms and the Acceptable Use Policy and acknowledge the Privacy Policy.

CrystalSlate is an independent product and is not affiliated with, sponsored by, or endorsed by Smartsheet Inc. Smartsheet remains a third-party service governed by its own terms.

2. Eligibility and accounts

  • You must be at least 18 and able to enter a binding agreement.
  • If you use CrystalSlate for an organization, you represent that you may act for that organization.
  • You must provide accurate account information and protect your password, verification links, sessions, and connected credentials.
  • Each account belongs to one person. Shared accounts and shared workflow licenses are not permitted.
  • Notify CrystalSlate promptly if you suspect unauthorized account or token access.

3. Trial, pricing, and subscriptions

New accounts may receive a seven-day trial without providing a payment card. The trial is limited to Settings and supported read-only Assets inventory, search, Cell History, and Bulk Export workflows. Users, Groups, Activity, and write workflows require paid activation and the appropriate Smartsheet role.

Self-serve pricing is $7.99 USD per licensed workflow user per month or $79.99 USD per licensed workflow user per year, billed upfront. Account-only management roles do not consume a workflow license. Applicable taxes may be added. Current pricing and multi-license examples are published on the pricing page.

If no payment method is added before the trial ends, trial access may end and the workspace may lock until a paid subscription is started. Larger-team terms or discounts apply only when confirmed in a written sales-assisted quote.

4. Organization roles and workflow licenses

One organization subscription has a licensed quantity equal to its purchased workflow licenses. Each person who enters CrystalSlate workflows needs a distinct account and one assigned license. The unique Primary Owner controls management-role assignment and ownership transfer. Account Managers administer people and available licenses; Billing Managers alone receive billing visibility and billing controls.

A management role does not by itself include workflow access or consume a paid license. Adding licenses may create an immediate prorated charge. License reductions normally take effect at renewal after occupied surplus licenses are resolved, and do not automatically create a mid-cycle refund. Smartsheet permissions determine which workflows a licensed user sees; they do not change the per-user price.

5. Billing, cancellation, and refunds

Stripe processes payments, invoices, billing details, payment methods, and tax IDs. CrystalSlate does not receive full card numbers. Subscriptions renew automatically for the selected interval until canceled.

You may schedule cancellation for the end of the current billing period through the account billing flow. Access continues through the paid period unless the account is suspended for misuse or security reasons. Refund requests submitted within 14 days of the initial paid subscription may be reviewed for eligibility; refunds are not automatic unless required by law or a written agreement.

6. Smartsheet access and customer responsibility

You may connect only Smartsheet accounts, assets, users, and groups that you are authorized to access or manage. CrystalSlate acts through the permissions of the connected Smartsheet account and cannot grant broader Smartsheet rights.

Token mode keeps a connected Smartsheet token in tab memory by default. If you opt to remember it on a trusted browser, you authorize a time-limited encrypted copy on that device. You remain responsible for device access and must use Clear or Forget, rotate the token, or revoke it in Smartsheet when the device is shared, lost, compromised, or no longer trusted.

You are responsible for reviewing workflow scope, choosing safe targets, obtaining internal approvals, and confirming that requested changes are appropriate. Typed confirmation and Activity records support careful work but do not replace your judgment or authorization duties.

7. Acceptable use and suspension

You must follow the Acceptable Use Policy. CrystalSlate may limit, suspend, or terminate access when reasonably necessary to protect users, customer environments, the service, Smartsheet, or third parties; respond to unlawful activity; address nonpayment; or investigate a material violation.

8. Customer data and feedback

You retain all rights, title, and interest in information you provide and in your organization’s Smartsheet data (“Customer Data”). CrystalSlate claims no ownership of Customer Data. You grant CrystalSlate and its service providers a limited right to access, process, transmit, and retain Customer Data only as needed to provide, secure, maintain, and support the service, comply with law, and carry out your documented instructions, consistent with the Privacy Policy.

CrystalSlate does not sell Customer Data, use it for behavioral advertising, or use Customer Data or Smartsheet data to train or improve artificial-intelligence or machine-learning models. General service-improvement rights are limited to voluntary feedback and aggregated or de-identified operational information that does not identify a customer, account, person, or Smartsheet environment.

You may request access, export, correction, or deletion through the available account controls or support. Verified deletion requests are completed under the published retention schedule, subject to limited billing, tax, security, fraud-prevention, legal, audit, and time-limited backup obligations described in the Privacy Policy.

If you voluntarily provide product feedback, CrystalSlate may use it without restriction or payment, provided that customer confidential information and personal data remain protected.

9. Availability and changes

Self-serve CrystalSlate is provided without a formal service-level agreement. Maintenance, third-party outages, Smartsheet API limits, beta or launch-candidate conditions, and security events may affect availability. Features may change as the product is improved, but material subscription or policy changes will be communicated where required.

10. Disclaimers and limits

To the extent permitted by law, CrystalSlate is provided “as is” and “as available,” without implied warranties of uninterrupted operation, merchantability, fitness for a particular purpose, or non-infringement. You remain responsible for backups, approvals, and verifying changes made to Smartsheet.

To the extent permitted by law, CrystalSlate is not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, lost profits, lost data, or business interruption arising from use of the service. Any mandatory rights that cannot lawfully be limited remain unaffected.

11. Contact and notices

CrystalSlate is using email-only contact during its controlled initial launch. Send terms, billing, or legal questions to hello@crystalslate.com. Include “Legal” or “Terms” in the subject for legal notices.

No physical mailing address is published at this stage. A registered postal contact will be added when required for a particular communication, program, or legal obligation.
